A Fortune 500 commercial real estate services company was under pressure to reduce operational costs tied to its legacy self-service analytics automation platform. Annual licensing and infrastructure expenses had ballooned to several million dollars, and leadership had set aggressive targets to retire a significant portion of user licenses within a defined timeline to achieve a more sustainable commercial arrangement.
The company had thousands of analytics assets built on the legacy platform, spread across global business units and spanning core functions including finance, HR, leasing operations, risk management, and sales.
Leadership pursued a staged decommissioning strategy with clear and aggressive license-reduction milestones, starting with a 50% reduction before their upcoming renewal in 6 months. However, the path forward was complicated: the most complex and business-critical workflows were deeply linked to the legacy platform. Processes including billing reconciliation, GL reporting, payroll validation, lease market share analysis, and asset risk scoring depended on these existing analytics assets daily.
Accelerating migration of these critical business processes to a new cloud-native platform without losing functionality or disrupting ongoing operations required specialized expertise that the internal team did not have.
Our Approach
Aimpoint Digital began with a rapid migration assessment, inventorying and cataloging more than 2,900 existing workflows in the legacy platform. The team evaluated each asset for migration feasibility, business criticality, and technical complexity, then worked with the client to rank these assets by operational importance. Throughout this process, Aimpoint worked to strategically refine, deduplicate, and rationalize the full inventory down to the subset that truly required migration.
Sequencing to Maximize License Savings: Beyond just narrowing scope, the Aimpoint approach mapped the relationship between individual workflows and the client's license footprint, identifying which migrations would unlock the largest number of license reclamations. This allowed the team to sequence migration development work so that each wave of migrations directly contributed to achieving the client's commercial targets for license reduction.
Strategic Migration Collaboration: The Aimpoint team worked closely with the Savant Labs vendor team and the client's finance and BI organization. They collaborated directly with technical stakeholders and end-users, providing ongoing feedback on functionality, platform features, and implementation best practices. The team migrated workflows spanning Coupa API integrations, financial consolidation and GL reporting, regional dashboard reconciliations, HR and compensation processes, and leasing analytics across multiple geographies.
Enablement Through Delivery: As the Aimpoint team focused on hands-on migration of assets, they were also intentional about embedding enablement into the migration effort itself. Owners of business-critical workflows were involved directly in the migration process, building familiarity with the new platform through hands-on participation. Aimpoint also delivered accelerator workflows and reusable migration templates, equipping users to understand migration patterns and extend solutions on Savant Labs independently.
Results
By mapping workflows to the client's license footprint and sequencing migrations to maximize cost savings, Aimpoint Digital enabled the retirement of 150 user licenses on the legacy platform. Combined with the scheduled reduction in server infrastructure previously required to run those workflows on schedule, the client achieved over $1M in combined annual savings on licensing and infrastructure costs.
